Comic-Con 2023 Exhibitor Housing Procedures

The Comic-Con International Exhibitor Housing Reservation Request period will open on Thursday, December 1, 2022 at 9:00am Pacific Time. It will remain open until Sunday, December 4, 2022 at 11:59pm Pacific Time.
If you have not submitted your request for rooms by December 4, 2022 you may book your room online when Attendee housing opens in the spring of 2023.
Waiting for Attendee housing to open to reserve your room may jeopardize your ability to get any room at all.
If none of your hotel choices are available at the time of processing, you will be placed in the nearest available hotel in your price range.
After your request is made you will receive hotel confirmation(s) from onPeak on or around March 8, 2023.
Standard Room Reservation Requests
Room nights will be reserved based on the Comic-Con exhibitor nightly booking pattern most commonly used by all exhibitors. Date changes may be requested only after you receive confirmation of your reservations.
To request extensions, additional rooms, or make other changes to your reservation, you will need to contact your appointed onPeak group agent. Requests will be honored based on the hotel’s availability at the time the request is made.
Please Note: Bed types are NOT guaranteed. Comic-Con International will attempt to accommodate your group at a hotel that offers room types/bed types based on your request. However, your actual room assignments are done by the individual hotels.
Specialty Suite Requests
Specialty suites are available for request via the form and will be confirmed based upon availability. The number of suites available at any one property are very limited.
Suite requests are for 1-bedroom hospitality and executive type rooms. These room types are not for multi-occupancy sleeping room requests.
If confirmed for a suite, you may exchange the suite for a standard room at the same hotel only if standard rooms are available.
If we are unable to confirm a specialty suite for you, you will be waitlisted for a suite at your preferred hotel. If a specialty suite becomes available, you will be contacted regarding rates and availability.
No-Show Policy & Early Departure Fee
Failure to check-in on your scheduled arrival date will be considered a “no-show” and result in a loss of your entire deposit and cancellation of your entire reservation.
An early departure fee may apply if the hotel is not notified of an early departure prior to, or at check in.
DEPOSIT POLICY
Each room reservation requires a deposit equal to two nights’ room rate plus tax; payable by credit card or check. Payments must be received no later than Tuesday, April 4, 2023, or reservations will be cancelled.
CANCELLATION POLICY
Reservations cancelled between the date the deposit is applied and Wednesday, May 31, 2023, will be subject to a cancellation fee equal to one night’s room rate plus tax, and will be deducted from your deposit.
All reservations are non-refundable as of Thursday, June 1, 2023.
Please note that some hotels consider name changes taken after June 21, 2023, at noon Pacific Time to be a cancellation. Name changes done on or after June 22, 2023, may result in the cancellation of the room and may not be reinstated.
NEW FOR 2023
DOWNTOWN ROOM REQUESTS
Comic-Con has a shortage of rooms in close proximity to the convention center. It has been our goal to ensure that both exhibitors and attendees are able to get some portion of their room block(s) near the Convention Center if they so desire.
If your company will not use rooms outside of the downtown area, please do not request them. We will only be able to offer the limited blocks as in previous years. The only way we can give a company additional rooms downtown is if another company releases their allotment of downtown rooms.
If you did not utilize the Mission Valley or Airport rooms allotted to you in 2022, we will not book them for 2023 unless you expressly ask us to do so.
MULTIPLE GUEST RESERVATIONS FOR THE SAME ROOM
It has been brought to our attention that some companies want to split one room reservation between multiple guests that will not be occupying the room at the same time. If that is your intent, please let your onPeak reservation agent know what you’re trying to do. Each new guest will have to put down a minimum 1-night deposit, if the room is for only one night, and a 3% service and technology fee. Post COVID, rooms will not be “turned” or refreshed as thoroughly as they need to be if the hotel believes there isn’t a “NEW” guest occupying the room.
SERVICE AND TECHNOLOGY FEES
A non-refundable service and technology fee equal to 3% of each hotel deposit will be charged for each reservation. Any change to a reservation that increases the required hotel deposit amount, such as extending the length of stay, changing to a more expensive room type, changing hotels, adding an additional guest etc.; will incur an additional non-refundable service and technology fee in the amount of 3% of the additional deposit amount. All charges will appear as “Comic-Con 2023 Hotels” on the user’s credit card statement.
ROOM BLOCK REDUCTION CONTRACTS
Due to Comic-Con’s continuing shortage of hotel rooms and room night attrition, the policy for larger room blocks (20 or more) will apply again this year. If you are requesting twenty (20) or more hotel rooms, you will be required to complete a Room Block Reduction contract.
Companies will still be able to change their room block reservations on or before June 15, 2023, without room block reduction/attrition penalty (cancellation policy will apply for and rooms canceled). As of June 16, 2023, your room block is considered final. If your final block is not fully utilized, you will have to pay an attrition fee.
Without this policy, Comic-Con will not be able to maintain the preferred rates or the number of hotel rooms we are able to offer our exhibitors and attendees.
A “cancellation” and “room block reduction” are NOT interchangeable terms.
A cancellation is canceling a room reservation completely.
A room block reduction is reducing the number of room nights held by a group.
ROOM BLOCK REDUCTION
Upon execution of the Room Block Reduction Contract, participating companies shall have the right to reduce the original Group Room Block(s) stated on page 1 of their Agreement without reduction/attrition liability to the company (cancellation liability applies), provided such Room Block reductions are made in writing and received by onPeak on or before June 15, 2023 ("Adjusted Participating Company Room Block"). The Adjusted Participating Company Room Block held on behalf of the company as of June 16, 2023, will be the "Final Participating Company Room Block" for purposes of determining if any attrition fees are owed (i.e., minimal room night utilization requirement).
ROOM BLOCK ATTRITION POLICY:
If the participating company’s Total Room Night utilization is less than 90% of the total nights reserved in the Final Participating Company Room Block, the participating company agrees to pay Comic-Con International an amount equal to the difference between the actual number of Room Nights utilized at the hotel and 90% of the Total Room Nights in the Final Participating Company Room Block, multiplied by the Confirmed Rate plus tax per night as stated above.
Example 1*: XYZ Company is holding a block of 10 rooms for five nights each.

XYZ Company has a room block of 10 rooms for a total of 50 room nights.
Reducing any of those reservations from 5 nights to four nights or less, is a room night reduction (anything lower than 5 nights each). The room block reduction contract applies, and all reductions must be made on or before June 15, 2023.
If the same group cancels any of the 10 rooms, even if they extend the number of nights on the remaining rooms, that is considered is a cancellation.
*(Please note this example uses 10 rooms for brevity. The policy only applies to room with 20 or more hotel rooms).
Example 2: XYZ Group revises the original room block.

XYZ Company is now holding a block of 9 rooms for a total of 47 room nights. Room # 5 is a cancellation and falls under the “cancellation policy” which is a loss of the deposit. This is the normal Comic-Con cancellation policy.
XYZ Company contracts 47 total room nights in their initial Participating Company Room Block. Between the signing of the Agreement and June 15th, XYZ releases 17 Room Nights without liability. On or after June 16th, XYZ’s Final Participating Company Group Room Block is now 30 Room Nights.
If at the end of Comic-Con International, XYZ Company has only used a total of 25 Room Nights, then XYZ will be responsible for the difference between the Final Participating Company Group Room Block (30 Room Nights) and the 25 Room Nights actually utilized by the company (i.e., 2 rooms), multiplied by the Confirmed Rate per Night plus tax for the unused rooms at the property(s) in question.

Attrition fee is the equivalent of 2 Room Nights x Hotel Room Rate plus all applicable taxes.
The attrition fee only applies if you utilize 90% or less of your reserved Room Nights.
If you reserve 50 Room Nights, and do not use 3 room nights, (94% of reserved Room Nights) no fee will apply.
HOTEL ZONES AND EXPANDED REQUESTS
Comic-Con has a shortage of rooms in close proximity to the convention center. It has been our goal to ensure that both exhibitors and attendees are able to get some portion of their room block(s) near the Convention Center if they so desire.
All hotels participating in the Comic-Con housing program have been grouped into five zones. Each zone is based upon the hotel’s proximity to the Convention Center. The zones are:
Zone 1 – Adjacent
Zone 2 – Inner Downtown
Zone 3 – Outer Downtown
Zone 4 – City Central
Zone 5 – Mission Valley
Similar to 2022, this year’s request form will offer five groupings, each allowing for three different hotel choices. Each group offers the following hotel options:
Group 1 – All Participating Hotels
Group 2 –Zone 2 – 5 Hotels
Group 3 – Zone 3 – 5 Hotels
Group 4 – Zone 4 – 5 Hotels
Group 5 – Zone 5 Hotels
Exhibitors are required to select three (3) hotels from the first three (3) groups, for a minimum of nine (9) requests. Hotels may only be selected once per group, but selections can be repeated across different groups.
Group 4 and 5 hotel selections are optional, however, the more options you request the more likely you are to be placed in a hotel of your selection. This is especially true for large room requests. It is strongly advised to select hotels in each of the five (5) categories.
As in previous years, large room blocks will be split among multiple hotels. If you are requesting multiple rooms, please select your choices carefully.
This system still includes allocations for exhibitors in every participating hotel. Some hotels are almost exclusively allocated for exhibitors.
The Comic-Con International 2023 Exhibitor Hotel List with Zone designations will be sent to you on Wednesday, November 30, 2022.
Some examples:
1. You want to stay in Mission Valley (Zone 5) because you like the price.
Select your first, second and third choices for you Zone 5 hotels in each of the five (5) groups. In this situation, you can select as many as fifteen (15) different hotels or as few as nine (9) hotels. You are still required to make hotel selections in groups 1 – 3.
2. You want to stay as close to the Convention Center as possible (Zone 1).
Select your first three Adjacent (Zone 1) hotels in group 1. In Group 2 you will have to select three choices from the Inner Downtown (Zone 2) and in Group 3 you will have to select three choices from Outer Downtown (Zone 3). You can stop there or continue to make selections in Group 4 and 5 to give us the most flexibility in your placement.
3. You really want to stay as close to the Convention Center as possible (Zone 1), but if you aren’t right there then you’d rather save the money by staying in City Central (Zone 4).
Select your first three Adjacent (Zone 1) hotels in group 1. In Group 2 select any three hotels in City Central (Zone 4). In Group 3 select the same three hotels in City Central (Zone 4). You can continue to request the same hotel in Group 4, but you are not required to do so.
4. You have a very large room request and you want as much input over the multiple properties that your request will be split into as possible.
If none of your hotel choices are available at the time of processing, you will be placed in an available hotel in your price range provided in the appropriate section that meets your occupancy and bed-type request. You will not be obligated to accept rooms assigned in this fashion.
